The Challenge. Businesses today are completely dependent on the interaction between their employees and the availability of accurate information found in documents, data repositories and enterprises. Workers create and update documents and then communicate them to other workers and groups inside and outside the enterprise. Paper based systems and email make it impossible to keep these documents up-to-date, and centralized document management systems fail to capture this distributed content.

These disparate business systems and data repositories will always reside as a series of discrete, non-integrated applications whose life span may be a few years or even worse, a few decades. Additionally, engineering departments tend to have separate document management systems than the greater enterprise due to their more complex needs. Enterprise systems do not offer the functionality required by engineers to effectively manage drawings and designs and engineering systems are often too complex to be utilized by the greater enterprise. As a product moves out of engineering, it is said to be "thrown over the wall" as the event is sometimes referred to at product release. This metaphorical "wall" creates a number of problems and inefficiencies for both sides of the enterprise as they try obtain critical information from each other.

The KinnosaONE Solution. Distributed content refers to the content that lies not only on centralized servers, but also to content which resides on individual computers within an enterprise and to content that resides in other enterprises. Enterprise Data Unification, powered by KinnosaONE, addresses the business need to produce, capture and control documents wherever they reside. By creating a unified view of the data, KinnosaONE products break down the wall between engineering and the greater enterprise by allowing real-time, efficient information sharing between multiple, geographically spread workers within and outside the enterprise. By breaking down the traditional wall between engineering and the enterprise, companies are able to easily manage documents, share information and collaborate among distributed workgroups, divisions and departments to establish ONE Enterprise.

KinnosaONE products provide a custom solution that addresses the real business need - data unification. KinnosaONE provides the ability to unify, manage and leverage content across the enterprise to allow better decisions, thereby improving efficiency and profitability. Enterprise Data Unification allows companies to avoid the time and expense of building special repositories, replicating content and maintaining it. KinnosaONE manages content from its source location and provides a unified view of the disparate systems. It provides universal access to data, systems and content without creating complex architectures, extended project times, or expensive systems integration.

Why Is It Important? Enterprise Data Unification is important because it provides companies with a new way to leverage the valuable information within their enterprise to improve operations, reduce costs, and gain a competitive advantage. With a unified view of business documents, workers on both sides of the wall have an elevated level of understanding and control of the business allowing them to make better decisions in a shorter period of time. Enterprise Data Unification provides secured access to real-time content and distributes that information to employees, partners and customers within a "virtual enterprise" increasing the efficiency and effectiveness of the business process.

What Is The Value To Your Business? Enterprise Data Unification provides has enormous benefits. Here are just 10 ways that KinnosaONE brings value your business:
  • Provides management with a "big picture" view of the business
  • Reduces data complexity and streamlines business processes
  • Makes data readily available for viewing, publishing and collaboration
  • Perform searches across multiple repositories and enterprises
  • Eliminates redundancies and complexities of updating stale, redundant data
  • Reduces user training and provides the unified view essential to effective tasking
  • Minimizes the need to integrate applications to get a unified view of information
  • Distributes information to the network in real-time without replication
  • Preserves secure access based on the rights from the original location
  • Unifies content from distributed sources, with the content residing where owners maintain control and can deliver real-time updates and changes
How Does it Work? Unlike other solutions, KinnosaONE streamlines business content management by unifying the distributed data into a virtual repository. Authors create and update files at the source, giving access rights to specific users or groups of users. The authors can also specify relationships with other files located at other locations and in other repositories. As updates and new files are released, they are immediately available to the network through KinnosaONE's virtual repository and unified data view. This key differentiator is why KinnosaONE eliminates lost files and data and the need to integrate disparate applications to get a "single view" of information.

Enterprise Content Bus
Enterprise Data Unification is built on KinnosaONE's virtual repository, the Enterprise Content Bus (ECB). Content does not actually reside in ECB, but resides in existing repositories and Kinnosa JCR Repositories allowing them to be accessed as needed. Once content is connected through the ECB, it can be stored anywhere, but to the designer or author, it appears to be stored locally. The ECB can recognize events, such as the arrival of certain types of documents, and place them into an appropriate workflow, send a subscribed notification or automatically generate uniform document formats.

Windows Extension Service
The KinnosaONE product family makes it easy for business users across the enterprise to capture content when it is being authored. The bi-directional (read and write) Windows Extension Service lets workers across the enterprise use their existing Windows applications to modify or add content to the Enterprise Content Bus. Unlike other solutions, KinnosaONE products do not limit the choice of desktop tools by using connectors that are proprietary to each specific application.

The Windows Extension Service communicates with all existing third-party Windows applications and connects them to the ECB, where the content services are accessed. KinnosaONE products provide a standardized way for authors or designers to access the virtual repository. At this Services layer, the content is unified and there is a single way to access content, regardless of the source system. Users do not need to understand the underlying structure of the stored data, the platform or its location. Users can access, use and share content from the source, anytime, anywhere. They can publish content to any domain or format thus avoiding the need to replicate data across multiple repositories.

Direct Add-ins
KinnosaONE add-ins are special software components designed to add functionality to a specific application that can be accessed through the program's menu bar. An add-in extends an application by adding KinnosaONE functionality that is not in the core product itself. For example, External References in AutoCAD or SolidWorks is a feature provided by the KinnosaONE direct add-in. In many instances the Add-in communicates directly with the ECB to create and manage special data elements using the ECB Content Services.

Bus Adapters
Adapters are customized Web services components running on the ECB, on the target system, or on an intermediary server or device between the ECB and the target. Adapters utilize the legacy API of existing content repositories to provide a presence for them on the ECB. The family of KinnosaONE Adapters enables users to access and manage information in these repositories through a standard JCR interface. Content is exposed via the KinnosaONE Adapters allowing access to stored information without the need to modify the repository or its applications.

Kinnosa Adapters also support the interactions between the ECB and target system by transforming, enriching, routing, filtering and orchestrating services specific to the target system. The ECB approach using adapters facilitates and enhances interoperability of information repositories without necessitating modifications, enhancements or data migrations of the repositories themselves.

Templates
A key component of KinnosaONE products is the out-of-the-box templates provided for companies to customize and personalize their content management system. KinnosaONE templates are specially designed to get you up and running quickly.

Task and Activity Management
Businesses are dependent on the interaction between their employees and the availability of complete and accurate information. Every team member needs to know what to do and when to do it. The business activity engine automates business processes, data management and employee tasks. For example, ECB recognizes events, such as the arrival of certain types of documents, and places them into an appropriate workflow or sends a subscribed notification to an employee. Workers are notified of impending work and documents can be automatically routed to appropriate team members for review or collaboration. Task and activity management ensure that the right employee gets the right information at the right time.

Content Access
The most basic and widespread need for a content management system is simply to provide access to documents and other information. This basic need often goes unmet due to cumbersome searching methods and confusing or inconsistent user interfaces. The simple truth is that the more transparent a content management system can be to employees, the more it will be used and the more value it will deliver. Solutions that force employees to change their behavior are more likely to fail due to a lack of end user adoption.

KinnosaONE products are virtually transparent for the end user and use Windows File Explorer to access and browse ECB content. There are no cumbersome tools to learn and employees do not have to modify their work behavior. Simple drag-n-drop operations can move an external document or email message from the stranded world of an individual file system or e-mail box into shared folders and a managed system. Double clicking can open a file in a predefined visualization tool for collaboration or annotating, commenting or even emailing.

Search
KinnosaONE products provide users access to numerous repositories helping them perform their daily tasks. But employees must be able to quickly and easily find information to avoid spending hours each week locating the right information. It is unrealistic to build a single categorization scheme or to expect scattered employees to keep track of what content is available in each repository and where is the ultimate source of truth.

The Jakarata Lucene search engine enables employees to conduct simple and complex searches across the ECB content. A single search can cross multiple repositories eliminating the time employees could spend toggling between individual applications to search multiple repositories one by one. KinnosaONE Search includes content searches, property searches and searches across metadata.
